How Hub projects work

A Hub project is a shared place where people you invite can find your files and send files back to you. You choose what is available, and the files stay on your computer. You can set up a project once and keep using it as your work changes.

Before you start

Creating a Hub project requires an active Team plan. People you invite need ZettaSend installed and must sign in to the account you invited.

Keep the sharing computer available

The computer that shares the project needs to be switched on, connected to the Internet, and running ZettaSend. You can keep ZettaSend running in the tray while you do other work. If that computer is switched off, members will need to wait for it to be available again.

Create a project

  1. Open ZettaSend, sign in, and choose Hub Transfers.
  2. Enter a name in New project name and select Create Project.
  3. Use Link Files or Link Folders to choose what you want to share.
  4. Arrange the files and choose any upload permissions, then press Save.

You can also drag files and folders into the project from your file manager. Select a folder inside the project first if you want to add them there.

Organize your files

Link a file

A linked file is a file you have chosen from your computer. It stays in its original location. If you move or delete it there, ZettaSend shows that it is unavailable so you can fix or remove the link.

Link a folder

A linked folder shows the contents of a real folder on your computer. Files you add or remove in your file manager appear in the project after a moment. Press Refresh if you want to check straight away. To move or delete files inside a linked folder, use your file manager.

Make folders just for the project

Use New Virtual Folder to create a folder that only organizes the project. For example, you could make folders called Reference, Work in progress, and Finished, then place links inside them. This does not create or move folders on your computer. These folders cannot receive uploads directly (the linked folders inside can), because they have no location on your computer.

Choose the names people see

Virtual Rename changes a name inside the project. The original file or folder keeps its name on your computer. Press Save when you finish changing the project.

Invite people

Open the project's Members tab. Add the email address each person uses for their ZettaSend account, then save the member list. Copy the project's invite code and share it with them.

The code tells ZettaSend which project to open. A person must also be on your member list to join. If someone cannot get in, check that they are signed in with the email address you added.

Choose what people can do

Select an item and open Member permissions. There are two ways to manage access.

Simple

All project members can browse and download your shared files. Uploads are off until you allow them. To receive files, select a linked folder and choose Allow Uploads. The files people send will arrive in that folder on your computer.

Turn on This item and descendants if you also want people to upload into folders inside the selected folder.

Fine-grained

Use this when different people should have different access. Choose who can browse, download, or upload for each item. You can choose everyone, particular members or groups, or everyone except the people you select. In this mode, people can only do what you have allowed.

Browsing lets someone see an item. Downloading lets them receive a copy. Uploading lets them send files into a linked folder. Choose whether a permission also applies to the files and folders inside it, and press Save when you finish.

Join a project

  1. Sign in to ZettaSend using the account the project creator invited.
  2. Open Hub Transfers, enter the project code, and select Join.
  3. Choose the project under Joined projects to browse its files.

To receive files, select the files or folders you want, choose where to save them under Download to, and select Download.

To send files, select a folder that accepts uploads and choose Upload. Add your files or folders, then start the upload. If uploads are unavailable, ask the project creator to allow them for that folder.

Continue an unfinished transfer

You can pause a transfer and continue it later. Unfinished transfers appear under Pending transfers. Choose Resume when you are ready. Keep the files that have already arrived so ZettaSend can continue from the saved progress.

Selecting the same unchanged files and starting the download or upload again also continues the saved transfer. Files that have changed need a new transfer.

If the Internet connection drops, ZettaSend tries to connect again. If a drive or shared folder becomes unavailable, reconnect it and let ZettaSend check it again. Saved progress is kept while the original files and the partly downloaded files remain available. A transfer you paused yourself stays paused until you resume it.

Common questions

Do people get a copy of my files?

Yes. A download saves a copy on their computer. Your original files stay where they are. Later changes to your files are available in the project, but they do not change copies someone has already downloaded.

Why can someone see a file but not download it?

The project creator can allow browsing without allowing downloads. Ask them to check your download permission for that item.

Why can people not upload into my new folder?

Uploads need a linked folder with a real location on the sharing computer. A folder created with New Virtual Folder only organizes the project. Link a real folder, allow uploads into it, and save your changes.

Will my computer go to sleep during a transfer?

ZettaSend asks your computer to stay awake while files are being transferred. The tray menu shows when ZettaSend is keeping it awake. Keep the computer switched on and any drives you are using connected until the transfer finishes.
